If you bill customers all day, every second per invoice compounds into hours per week. This is a hands-on walkthrough of the sales invoice workflow in Roznamcha Digital — the ten-minute setup that makes daily billing fast, the exact clicks for creating an invoice, and how to get it paid and delivered without leaving the app.

The one-time setup that saves hours later

Invoicing speed comes mostly from setup. Do these four things once under Setup, and every future invoice is mostly pre-filled:

  • Items: add each product under Items with its sale rate and default tax. When the item lands on an invoice row, its rate and tax are fetched automatically.
  • Customers: add parties with their phone number — that also unlocks WhatsApp sharing later.
  • Taxes: your FBR and provincial sales tax templates are created for you at setup; check them under Setup > Taxes.
  • Number series: invoice numbering is automatic per series, so you never hand-type INV-2026-0143 or wonder whether a number was skipped.

Creating an invoice

Navigate to Sales > Sales Invoices and click the blue + button to open the invoice form. Then:

  • 1. Select the Customer — their currency, price list and outstanding balance are picked up automatically.
  • 2. Click Add Row and pick the Item being sold. The rate and default tax fill themselves; change them only when needed.
  • 3. Enter the Quantity. Add more rows or set the Taxed Amount directly — the app back-calculates the rate for you.
  • 4. Click Save when you are done, then Submit to finalize.

On Submit, Roznamcha Digital posts the double-entry ledger entries automatically — Accounts Receivable is debited, Sales and your output tax accounts are credited. The invoice is now in Submitted state and cannot be edited, which is exactly what you want: the sales transaction is recorded and locked.

Recording the payment

Until money arrives, the invoice sits in Unpaid state with its outstanding amount visible on every list view. To record the payment, open the invoice, click the ... menu and choose Make Payment.

The payment form opens with the outstanding amount pre-filled. Adjust it if the customer paid partially, pick the cash or bank account the money landed in, and Save. The payment is submitted, Accounts Receivable goes down, your cash account goes up, and the invoice status flips to Paid the moment the outstanding amount reaches zero.

Sending it over WhatsApp

With the invoice open, use the share action to send it to the customer as a PDF or an image, with a ready-made caption. Because the customer entry has a phone number, this is one click — no exporting, no renaming files, no switching apps.

The same dialog generates payment reminders: a polite, pre-written message quoting the invoice number, the outstanding amount and the due date. Chase an unpaid invoice in five seconds instead of composing the message yourself.

Keyboard shortcuts for high-volume billing

If you create dozens of invoices a day, stop reaching for the mouse:

  • Mod+Shift+I opens a new sales invoice from anywhere in the app.
  • Mod+K opens quick search — type a customer or invoice number and jump straight to it.
  • Mod+S saves the form you are on; Mod+P prints it.

The same engine powers the POS flow, so counter staff and back-office staff see identical data in real time — even with the internet down. Payments recorded at the counter reconcile against the ledger the moment the device syncs.
